1. Scope

This policy applies to the Motixa Individuals app. It allows an authorised customer to view services, requests, vehicles, invoices and approvals made available by the organisation using Motixa.

2. Data that may be processed

Depending on the organisation’s services and your use of the app, data may include account and contact or verification details; vehicle, request, work-order, service, invoice or approval information linked to you; profile or vehicle images, documents, notes or signature you choose to add or approve; and technical session, app-version or error information needed to operate the app.

When notifications are enabled, this can include a device or Firebase Cloud Messaging registration identifier, app data needed to route a notification and the notification content displayed to you. That content can include the organisation name, document number, or a request or approval status. Firebase Cloud Messaging, provided by Google, is used to deliver notifications. The app may request notification permission for request or approval updates and camera permission if you choose a related capture or scan feature. You can manage permissions in device settings.

3. Who manages your data and how it is used

The organisation providing your service manages its customer and service records in its account. Motixa Software processes data to operate the app, make authorised service history available, record approvals or responses you submit, send enabled notifications, provide support and protect the service.

Google processes notification identifiers and notification content through Firebase Cloud Messaging to deliver alerts. Information may also be available to the organisation’s authorised service or account staff, technical providers necessary to operate the platform or support, or others where required by law. Do not send sensitive financial information to the email address on this page.

4. Security and retention

We use access controls and technical and operational safeguards appropriate to the service. Keep verification codes and sign-in credentials private and do not share them.

The organisation may keep a service, invoice or approval record as needed to provide the service, maintain its operating record and meet applicable legal or accounting obligations. Deleting an app account does not automatically cancel a service relationship or erase documents that must be retained.
